An effectively managed agency management system (AMS) means that an agency can be confident in its ability to service customers and run meaningful reports. Converting or consolidating agency management systems is an opportunity for an agency to rethink its data structure and review procedures to ensure effective, reliable data. For many years Patra has been providing migration services for agencies. Below is an overview of one such engagement.

In anticipation of a manual data conversion from a proprietary agency management system to a commercially available AMS product, a leading national agency contracted Patra to review the agency’s data management needs and migrate data. An API exchange would not work due to mapping limitations so the team was charged with manually moving more than ten thousand commercial policies from spreadsheets. This involved updating policy and billing screens and moving attachments to the document management system’s filing structure. This included certificate holders lists, statement of value spreadsheets and other pertinent underwriting attachments such as loss runs, applications, quotes, proposals, policies and endorsements with proper labeling.

With data integrity being of utmost importance to this broker, they opted to ensure there were no gaps in system data. Consequently, Patra was asked to compile a list of the customers with missing data points such as customer contact, NAICS/SIC codes, detailed COPE particulars and officers listed on workers’ compensation policies, to name a few. The Patra team simultaneously moved customers over while filling in the missing data.

Not only were their 10,000+ customers moved over successfully, and faster than estimated, the accuracy of the data allowed the broker team to ensure continuity of customer servicing.
